Tree Guy Digital LLC (“Tree Guy Digital,” “we,” “us”) is a Florida company that provides marketing, technology and lead management for tree service companies. This policy explains what personal information we collect, how we use and share it, how long we keep it, and your choices. It covers our website (treeguydigital.com), including our help pages and our sign-in portal, and the work we do for our clients. It doesn’t cover our own team members’ employment records. See also our Terms of Service and Cancellation & Refund Policy.
The short version:
- We collect only what we need to answer you, see if we’re a fit, and do the work.
- We don’t sell personal information.
- Our website has no advertising or analytics trackers.
- We record calls only with everyone’s permission.
- You can ask to see, correct or delete your information.
What we collect
What you give us on our website
- Contact form: your name, business name, email and message.
- Pricing questions pop-up: your first and last name, email and phone number, plus your answers about your biggest challenge, whether your business is registered with your state and insured, your current marketing, and your monthly revenue range. We keep your answers even if we’re not a fit right now.
- Growth Score quiz: your name, business name, email, quiz answers and scores.
- Booking a call: our booking calendar is run by Calendly. What you enter goes to Calendly, which sends us the booking details and sets up a Google Meet video call.
- Help requests: your company, name, email, phone (optional), a description of the issue, and any files you attach.
When you talk with us
When you email, call, text or meet with us, we keep the messages and our notes. Some calls are recorded with your permission (see “Call recordings and AI” below).
When you become a client
During onboarding and while we work together, we gather what we need to do the work, such as:
- Contact details: the owner’s name, email and cell phone, your business phone, and the number your leads ring to.
- Your business address, the address registered with your state, and the address on your certificate of insurance.
- License, insurance and ISA arborist details, and copies of documents like your certificate of insurance.
- Your services, service area, hours, the date you opened, brand colors, logo and photos.
- Links to your Google Business Profile, website and social pages, and your domain and registrar.
- Access to your Google Business Profile, ad accounts, social pages, website and domain.
- If we run Google Ads for you, what Google requires to verify you as an advertiser.
- Your package, your account manager, notes from our calls, and records of the work we do.
- Results from the platforms we manage, like rankings, reviews, calls, leads and ad performance.
Owner identity labels. Google lets businesses show labels like women-, veteran-, Black-, Latino- or Asian-owned on their profile. Telling us is optional. If you do, we use it only to add that label to your Google Business Profile, where it will be public.
Passwords. We never ask you to type passwords for your other accounts into our forms. Where a platform allows it, we ask you to add us as a manager or user instead. When we truly need a login to do the work, we keep it in a password manager that only the people who need it can open.
Public information
We may look at public information about your business, like your Google listing, reviews, website and search rankings, to see if we’re a good fit and to track results.
Billing
You pay us through Stripe, our payment processor, by bank debit (ACH) or card. Stripe collects and stores your full bank account or card number. We see only limited details, like the bank or card type and the last four digits, plus your billing name, email, amounts and payment history. If you’d rather give us your bank details to set up for you, we enter them straight into Stripe and don’t keep a copy. Stripe also keeps a record of your permission for automatic payments. A few existing clients are still billed through our previous payment processor while we move everyone to Stripe.
Ad spend is paid directly to Google or Meta with your own payment method on those platforms, so they handle that billing information, not us. If you add direct mail, our mail partner bills you directly.
Portal accounts
If you have a login to our portal, we keep your email, role, department and two-step login settings. We log each sign-in attempt (the email used, IP address, time and whether it worked) to stop break-ins. Passwords and two-step codes are handled by our login provider, Supabase. We never see your password.
Technical information
Our hosting and database providers (Cloudflare and Supabase) keep basic technical logs, like IP address, browser type, the page requested and the time. We use them to keep the site secure and fix errors, not to build profiles of visitors.
How we use it
We use personal information to:
- answer your questions and follow up on your inquiry;
- see if we’re a good fit, for example whether your business is registered and insured and whether your market has an opening;
- set up and deliver our services, including writing content and ads that sound like you;
- bill you and handle payments;
- handle help requests and keep you updated on them;
- send service messages, plus marketing you can opt out of (marketing texts only with your permission);
- report results and improve our services;
- keep our systems secure and prevent fraud; and
- meet legal, tax and accounting duties.
Call recordings and AI
Some calls, like client onboarding calls and owner interviews, may be recorded on Google Meet with Fathom, which also creates a transcript. We use AI (Anthropic’s Claude) to turn the transcript and your onboarding answers into a profile of your business, so the content we write sounds like you and fits your market.
We only record with everyone’s permission. We’ll tell you before recording starts, and the calendar invite will say so too. If you’d rather not be recorded, just say so, before or during the call. We’ll stop recording and take notes instead.
Information we handle for our clients
We run tools for our clients, the tree service companies: their CRM (GoHighLevel), missed-call text-back, review requests, call tracking (WhatConverts), and the websites we build and host for them. These tools hold information about the client’s customers and callers, such as names, phone numbers, emails, messages, call details and, if the client turns it on, call recordings. Client websites and ad campaigns may also use forms and Google or Meta ad tools to measure results.
For this information, we act as the client’s service provider. We use it only to serve that client. We never sell it or use it for our own marketing. The client decides who gets texts and is responsible for having permission to contact its customers. The tree service company’s privacy policy applies, so if you’re one of their customers, please contact that company with questions or requests. We’ll help them respond. You can reply STOP to any text from them to opt out.
How we share information
We don’t sell personal information, including sensitive personal data. We don’t share it with other companies for their own marketing. We share it only as needed with:
- Our team, including contractors, who need it to do their jobs and must keep it confidential.
- Service providers that may use it only to provide services to us: hosting and security (Cloudflare); database, file storage and logins (Supabase); email, calendar and video calls (Google Workspace); system emails (Resend); scheduling (Calendly); call recording and transcripts (Fathom); AI (Anthropic); CRM, texting and call tracking (GoHighLevel and its phone carriers, WhatConverts); payments (Stripe, and our previous processor for a few existing clients); and password management and records (1Password, and Airtable, which we’re phasing out). This list changes as our tools change.
- Platforms we manage for you, such as Google (Business Profile, Ads and Local Services Ads), Meta (Facebook and Instagram), your web host and domain registrar, and our mail partner if you add direct mail. These platforms handle information under their own terms and privacy policies.
- Professional advisors, like our lawyers and accountants.
- Legal and safety reasons, when the law requires it or to protect our rights, our clients or others.
- A sale or merger of our business. The new owner would have to keep protecting your information as this policy describes.
- Anyone else, with your permission.
Stripe uses payment information to process payments, prevent fraud and meet its own legal duties, as its privacy policy describes.
Testimonials. If you give us a testimonial, review or video, we may show it on our website and social pages with your name and business. Ask us any time and we’ll take it down from the places we control.
Tree Guy Connect (treeguyconnect.com), our subcontractor marketplace, is a separate product with its own terms, which apply to what you share there.
Text messages (SMS)
If you give us permission, Tree Guy Digital LLC may text you about your inquiry, appointments, your account and our services. If you separately agree to marketing texts, we may send occasional offers and updates. Texts may be sent using automated technology. You never have to agree to texts to buy from us.
- Message frequency varies.
- Message and data rates may apply.
- Reply STOP to stop texts. QUIT, END, CANCEL and UNSUBSCRIBE also work. You can also tell us another way, like by email or phone, and we’ll stop within 10 business days.
- Reply HELP for help, or contact us using the details below.
- Carriers aren’t liable for delayed or undelivered messages.
When you agree to texts, we keep a record of it: your phone number, the date and time, and the page and wording you agreed to.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Clients get emails about their account, billing and service. Our marketing emails include an unsubscribe link and our mailing address, and we honor unsubscribe requests within 10 business days. Unsubscribing from marketing doesn’t stop emails about your account, billing or service.
Cookies
Our public website has no advertising or analytics cookies, pixels or tracking scripts, and we don’t set cookies when you browse it. A few outside services can still see your visit:
- Our fonts load from Google Fonts, so Google receives your IP address and browser details.
- Our booking page shows Calendly’s calendar, which may set its own cookies.
- Cloudflare, our host, may set a security cookie to block bots and attacks.
Your light or dark theme choice is saved in your own browser and isn’t sent to us.
If you log in to our portal, we use essential cookies to keep you signed in (up to 30 days while you’re active) and to remember a few settings, like how a list is laid out. The portal won’t work without them. You can block or delete cookies in your browser settings.
Links to other websites, like our Facebook, Instagram and YouTube pages, are covered by those sites’ own policies.
Do Not Track
We don’t currently respond to browser “Do Not Track” signals. We don’t track you across other websites, and we don’t let other companies do so through our site, beyond the services listed under Cookies.
How long we keep information
We keep personal information only as long as we need it. Then we delete it or remove what identifies you. In general:
- Inquiries that don’t become clients: up to 2 years after our last contact.
- Client records, onboarding information and help requests: while you’re a client, plus up to 2 years after you leave.
- Billing, tax and contract records: up to 7 years after you leave. Bank rules require us to keep automatic-payment authorizations for at least 2 years after they end.
- Call recordings, transcripts and the business profile we build from them: while you’re a client and up to 12 months after, unless you ask us to delete them sooner.
- Sign-in security logs: about 30 days.
- Website and server logs: a short time, set by our providers.
- Information we handle for clients: as the client directs. When a client leaves, we export their contacts on request, then pause or close the account.
How we protect information
We take reasonable steps to protect personal information, as Florida law requires:
- Our website and portal use encrypted (HTTPS) connections.
- Card and bank details are entered on Stripe’s secure, encrypted systems and stored by Stripe, not by us.
- Our team must use two-step login for our portal, and each person sees only what their job needs.
- We limit repeated failed sign-ins.
- When we no longer need records, we dispose of them so they can’t be read.
No system is perfectly secure. If a breach affects your personal information, we’ll notify you as the law requires.
Your choices and rights
Anyone can ask us to:
- show them the personal information we have about them, or send a copy;
- correct it; or
- delete it.
Email billing@treeguydigital.com or call (863) 474-8744. We’ll respond within 30 days and may need to confirm your identity first. We honor these requests wherever you live, and we won’t treat you differently for making one. If we must keep some records, like billing records, for legal or tax reasons, we’ll tell you which ones and why.
You can also unsubscribe from marketing emails, reply STOP to texts, and block cookies in your browser.
- California residents: we don’t share personal information with other companies for their own direct marketing.
- Nevada residents: we don’t sell covered information. You can still send an opt-out request to the email above.
Children
Our website and services are for businesses and adults. They aren’t aimed at children, and we don’t knowingly collect information from anyone under 16. If we learn we have, we’ll delete it.
Where we process information
We’re based in the United States, and our main database and file storage are in the United States. Some providers, like our hosting network, may handle data in other countries as part of their service.
Changes to this policy
When we update this policy, we’ll post the new version here with a new “Last updated” date. For significant changes, we’ll also email active clients before the changes take effect. This version takes effect October 15, 2026.
